Should you prefer to pay for registration by check instead of credit card, please complete the first part of registration, email admin@headcoachtc.com to confirm registration will be paid by check, then mail a check made out to “With the Assist” to:

Recruitable student-athletes may not register for or attend HCTC, including as guests. This policy supports college coaches’ compliance with NCAA recruiting bylaws.

Add-Ons:

After you purchase an HCTC gift registration, a member of the HCTC team will contact you to obtain the name of the gift recipient. HCTC will then provide you with a printable gift certificate that you can share with the recipient.

Scholarship donations are made to With the Assist, a 501(c)(3) tax-exempt organization (EIN: 86-2217795). Donations may be tax-deductible to the extent permitted by law. Please consult your tax advisor regarding the deductibility of your contribution.

If you would like to sponsor more than one With the Assist HCTC scholarship, please email jennifer@thebdsagency.com.

By registering, you agree to comply with all event policies, rules, and guidelines.

Refunds:

Refunds may only be requested if the original registrant is unable to attend HCTC27.

All refund requests must be submitted in writing by emailing jennifer@thebdsagency.com.

A $25 administrative fee will be deducted from all refunds requested prior to May 12, 2027.

Because HCTC incurs expenses based on confirmed registration numbers, no refunds will be issued beginning May 12, 2027, through the conclusion of HCTC27.

If HCTC27 cannot be held in person and is converted to a virtual event, registrants will receive a partial refund of their registration fee. $125 of each registration fee will be non-refundable and applied toward participation in the virtual HCTC27 event through the Whova platform.

If HCTC27 is canceled by HCTC and is not rescheduled or converted to a virtual event, registrants will receive a refund of registration fees paid to HCTC.

Registration Transfers:

A registration may be transferred one time only, at no cost, and only by the original registrant.

Once a registration has been transferred, it may not be transferred again and is not eligible for a refund.

Any registration transfer request must be submitted by the original registrant via email to jennifer@thebdsagency.com.

Venue and Date Changes:

HCTC reserves the right to change the event venue or postpone or reschedule HCTC27 if circumstances reasonably require such a change.

If HCTC27 is relocated to another venue within the Orlando area and the event dates remain unchanged, registrations will remain valid and the venue change will not constitute grounds for a refund.

Notwithstanding the HCTC27 Refund Policy, if HCTC27 is postponed or rescheduled to different dates, registrations will automatically be transferred to the rescheduled event. Registrants who are unable to attend on the rescheduled dates may request a refund of the registration fees paid to HCTC by submitting a written request within 30 days of HCTC’s announcement of the new event dates.

HCTC and With the Assist will not be responsible for airfare, lodging, transportation, change or cancellation fees, or other expenses or losses incurred as a result of a venue change, postponement, or rescheduling.

Photography and Videography Release:

As a condition of registration and attendance at HCTC27, you grant HCTC permission to photograph, film, and otherwise record you during the event and to use your image, likeness, and/or voice in photographs, video recordings, and other event-related content for purposes including documenting and highlighting HCTC27 and promoting HCTC and future events. Such materials may be used in HCTC’s website, social media, email communications, marketing materials, and other promotional channels.

You acknowledge and agree that you will not be entitled to compensation for HCTC’s use of your image, likeness, and/or voice as described above and that such authorized use will not impose liability on HCTC.

Photography and video recording of HCTC27 sessions or presentations by attendees, except as expressly authorized by HCTC, is strictly prohibited.

Email Release:

As a condition of registration or attendance at HCTC27, you expressly consent to HCTC sharing the email address you provide during registration with HCTC27 event sponsors for purposes of communicating with you about their products, services, and other offerings.

Hilton Orlando is committed to providing an accessible experience for all guests, including guests with disabilities. If you have accessibility needs or require an accommodation in connection with HCTC27, please contact Hilton Orlando directly in advance of the event or contact HCTC at jennifer@thebdsagency.com so we can assist in coordinating your request.

Events Beyond HCTC’s Control:

HCTC and With the Assist will not be responsible for delays, cancellations, disruptions, damages, losses, or lodging, transportation, travel, or other expenses incurred as a result of circumstances beyond their reasonable control that prevent, restrict, interfere with, or materially affect HCTC27. Such circumstances may include, but are not limited to, epidemics, pandemics, or public health emergencies; acts of God; earthquakes; fires; floods; severe or inclement weather; accidents or explosions; strikes, lockouts, boycotts, or other labor disturbances; riots or civil disturbances; war or terrorism; governmental orders, restrictions, or actions; transportation disruptions or deficiencies; or other circumstances beyond the reasonable control of HCTC and With the Assist.

By registering for or attending HCTC27, you acknowledge and agree that HCTC and With the Assist, and their respective officers, employees, and agents, will not be responsible for reimbursement or compensation for lodging, transportation, travel, or other expenses or losses you incur as a result of the cancellation, postponement, relocation, modification, or disruption of HCTC27 due to circumstances described above.

Program Changes:

HCTC27 speakers, sessions, schedule, programming, and other event details are subject to change without notice. Such changes will not constitute grounds for a refund.
