Should you prefer to pay for registration by check instead of credit card, please complete the first part of registration, email admin@headcoachtc.com to confirm registration will be paid by check, then mail a check made out to “With the Assist” to:

Recruitable student-athletes are not permitted to register for or attend HCTC, even as a guest. This policy ensures that college coaches remain in compliance with NCAA recruiting bylaws.

By registering, you agree to follow all policies, rules, and guidelines associated with this event.

Add-Ons:

Once you purchase a HCTC gift registration, a HCTC staff member will contact you to obtain the name of the person you would like to gift the registration and then send you a printable gift certificate to share with the recipient.

Scholarship donations to With the Assist are tax-deductible (please consult with your tax preparer for further information), as With the Assist is a 501(c)(3) tax-exempt organization – EIN#: 86-2217795.

If you would like to sponsor more than one With the Assist HCTC scholarship, please email admin@headcoachtc.com.

Refunds:

Refunds may only be requested should the original registrant be unable to attend HCTC26.

Any refund requests must be made in writing by emailing brian@thebdsagency.com.

A $25.00 administrative fee will be assessed on all refunds requested prior to May 6, 2026.

Understanding that costs are incurred by HCTC based on registration numbers, no refunds will be issued May 7, 2026 through HCTC26.

Should it become necessary for HCTC to hold the event virtually, all registrants will be refunded a portion of their original registration fee payment, with the exception of a non-refundable amount of $125.00, which will be applied towards a virtual event through the Whova platform. Again, this $125.00 portion of your original registration fee is non-refundable should HCTC26 occur virtually.

Transfers:

The transfer of registration is only allowed one time at no cost, and may only be transferred by the original registrant.

A registration that has already been transferred once may no longer be transferred a second time, and no refund will be provided.

Any requests for a transfer of registration must be submitted by the original registrant via email to brian@thebdsagency.com.

Photography & Videography Release:

As a condition of your registration and attendance at HCTC26, you expressly grant HCTC permission to capture images and videos of you, to use any images and video footage for the purposes of highlighting this event, and to use any images and video footage in promoting future events. Furthermore, you acknowledge that such uses will not impose any liability on HCTC or entitle you to any compensation for the use of your image and likeness.

You also acknowledge that video recording of HCTC26, except by authorized event personnel, is strictly prohibited.

Email Release:

As a condition of your registration or attendance at HCTC26, you expressly grant HCTC permission to share the email address that you provide in the registration form with HCTC sponsors.

Americans With Disabilities Act (ADA):

The Hilton Orlando will do their best to follow ADA regulations and ensure its property is accessible to all, including guests with special needs. If you have any special needs, feel free to reach out in advance to discuss these needs directly with the Hilton Orlando or contact HCTC at brian@thebdsagency.com.

Waiver of Costs:

HCTC and With the Assist are not responsible for any delays, damage, loss, or incurred lodging and transportation costs as a result of causes beyond the reasonable control of HCTC and With the Assist that prevent, restrict, or interfere with HCTC, including, but not limited to, epidemics or pandemics; Acts of God; earthquakes; fires; floods; inclement weather; accidents or explosions; other casualties; strikes, lockouts, boycotts, or other labor disturbances; riots or civil disturbances; wars; terrorism; local, state, or federal government restrictions; deficient transportation facilities; or any other cause or causes beyond the reasonable control of HCTC and With the Assist.

By registering, attendee agrees to indemnify, defend, and hold harmless HCTC and With the Assist, and their respective officers, agents, and employees, from and against any and all costs, expenses, damages, claims, lawsuits, judgments, bodily and personal injuries, losses, and/or liabilities (including attorney fees) arising either directly or indirectly from or related to any and all claims made by or against any of the aforementioned parties due to the cancellation of the in-person HCTC event related to above circumstances and conditions.
